Voti for restaurants and hospitality groups
The way you do things, in the hands of whoever starts today
HACCP, the allergen matrix and the house standard stop living in two people’s heads. Potens, the intelligence inside Voti, answers with your own document in front of it and cites which one and what page.
What the kitchen already has written down
It goes in exactly as it is: PDF, Word, Excel or plain text. It is indexed in seconds, with its status visible, and from that moment you can ask about what is inside it.
- HACCP food safety manual· p.14
- Allergen matrix· p.3
- Cleaning and sanitising schedule· p.6
- Supplier specification sheets· p.2
- Front-of-house manual· p.9
- Lease agreement· p.4
- Public liability insurance· p.11
- Premises and alcohol licence· p.1
Nothing is rewritten or summarised: it is indexed and cited. And deleting a document deletes what was indexed from it.
Three questions that come back every service
The answers come out of your own document, not out of the model. When no document supports them, Potens says so, and the question is logged without an author on the list of what is still undocumented.
Does this dish contain sesame?
What the current sheet says, with the date it applies from.
Allergen matrix· p.3What temperature do we accept fresh fish at?
The control point from the manual, with its range and what to do outside it.
HACCP food safety manual· p.14How do we cash up on a Sunday?
The written front-of-house procedure, step by step and who checks it.
Front-of-house manual· p.9
What cannot be missed
A deadline is not an appointment. It is an entity with a type, a due date, an owner and a severity, and the severity is computed on the server: seven days out it becomes a warning, two days out it becomes critical. Each morning it goes to whoever owns it, in the app and by email, in their language.
- The annual fire extinguisher serviceLogged with its date and its owner. The severity climbs on its own as the date gets closer.
- The pest control visitIt reaches the daily digest of whoever owns it, instead of waiting on a calendar someone has to remember to open.
- Insurance and licence renewalsExpiry type, with its date and its assigned owner.
Who sees the supplier contracts
Voti has five roles, from owner to guest, and the role sets the starting point. The detail does not come from it: it comes from per-document, per-person permissions, granted and withdrawn one at a time. Denial always wins, and they protect against Potens too — a document outside someone’s reach never enters their answer, whole or in fragments.
- Someone who just started in the kitchen
- HACCP and the allergen matrix. Nothing else.
- Whoever runs front of house
- Their manual and the service procedures, document by document.
- An external food safety adviser
- Only the file they are working on.
- Administration
- The whole archive, and the log of every access and every denial.
What adapts to your place, and what does not
There is no hospitality edition of Voti. There is a description of your business — written when you sign up, changed whenever you need — that Potens carries into every answer.
- It does not connect to your EPOS or your stock system: Voti neither reads from nor writes to them, takes no orders and counts no stock.
- It does not run rotas, clocking or payroll. The rota and the staff handbook can sit inside as documents to consult, and that is where they stay.
- A group with several sites is one organisation: there is no split by site, and permissions are granted document by document.
- It brings no hospitality templates or corpus. The archive is yours, and the suggested questions come out of your own documents.
Your archive already exists. It just has to answer.
Upload the HACCP manual and the allergen matrix, ask what gets asked every service, and check it for seven days.
