Voti for accounting firms
One answer for the whole practice
The procedure, the fee and the judgement stop living in two people’s heads. Potens, the intelligence inside Voti, answers with the firm’s own document in front of it and cites which one and which page.
What the practice has already written down
It goes up exactly as it is: PDF, Word, Excel or plain text. It is indexed in seconds, with the status visible, and from that moment its contents can be asked about.
- Practice manual· p.12
- Fee schedule· p.3
- Filing calendar· p.1
- Client onboarding checklist· p.2
- AML policy· p.8
- Year-end guide· p.24
- Engagement letter· p.1
- Practice update· p.5
Nothing is rewritten or summarised: it is indexed and cited. And deleting a document deletes what was indexed from it.
Three questions that come round every week
The answers come from the firm’s document, not from the model. When no document supports one, Potens says so, and the question is logged without an author on the list of what still needs writing down.
What do we need before we take on a new client?
The list from the practice’s own procedure, in order and with who signs it off.
Client onboarding checklist· p.2What do we charge for a personal tax return with trading income?
The current figure from the fee schedule, with the date it applies from.
Fee schedule· p.3What do we do when a client sends their records late?
The written procedure: the reminder, the internal cut-off and who it escalates to.
Practice manual· p.12
What cannot be missed
A deadline is not an appointment. It is an entity with a type, a due date, an owner and a severity, and the severity is computed on the server: seven days out it becomes a warning, two days out it becomes critical. Each morning it goes to whoever owns it, in the app and by email, in their language.
- A query with a response deadlineLogged the day it lands, with its owner. The severity rises on its own as the date gets closer.
- A quarter closingIt reaches the morning notice of whoever owns it, instead of waiting on a board someone has to remember to check.
- A certificate or an authority expiringType expiry, with its date and its assigned owner.
Who sees the payroll
Voti has five roles, from owner to guest, and the role sets the starting point. The detail does not come from it: it comes from per-document, per-person permissions, granted and withdrawn one at a time. Denial always wins, and they protect against Potens too — a document outside someone’s reach never enters their answer, whole or in fragments.
- Someone who joined this week
- The manuals and the fee schedule opened to them. Nothing else.
- Whoever runs payroll
- The procedures for their area, document by document.
- An outside contractor
- Only the file they are working on.
- Admin
- The whole archive, and the record of every access and every denial.
What adapts to your practice, and what does not
There is no accounting edition of Voti. There is a description of the practice — written at sign-up, changed whenever it needs to be — that Potens carries into every answer.
- It does not integrate with Xero, Sage or any practice software: Voti neither reads from nor writes to them.
- It does not file returns or calculate tax. It holds the documentation and the deadlines around that work.
- It ships with no accounting templates or corpus. The archive is the firm’s own, and suggested questions come from its own documents.
The firm’s archive already exists. It just does not answer yet.
Upload one procedure and the fee schedule, ask what your clients ask, and see in seven days whether it fits.
