Voti for hotels and accommodation
So the standard does not depend on who is on tonight
Housekeeping standards, the fire safety plan and what you agreed with each agency stop living in two people’s heads. Potens, the intelligence inside Voti, answers with your own document in front of it and cites which one and what page.
What the hotel already has written down
It goes in exactly as it is: PDF, Word, Excel or plain text. It is indexed in seconds, with its status visible, and from that moment you can ask about what is inside it.
- Operations manual· p.22
- Housekeeping standards· p.7
- Fire safety and evacuation plan· p.31
- Legionella control scheme· p.12
- Agency and OTA contracts· p.5
- Operating licence· p.1
- Public liability insurance· p.8
- Staff handbook· p.46
Nothing is rewritten or summarised: it is indexed and cited. And deleting a document deletes what was indexed from it.
Three questions that come back at the front desk
The answers come out of the hotel’s own document, not out of the model. When no document supports them, Potens says so, and the question is logged without an author on the list of what is still undocumented.
What commission did we agree with this agency?
The rate currently in the contract, with the date it applies from.
Agency and OTA contracts· p.5How often is the hot water system flushed?
The frequency the scheme sets, and who signs off each check.
Legionella control scheme· p.12What do we do if a guest loses the safe key?
The written procedure, step by step and who authorises it.
Operations manual· p.22
What cannot be missed
A deadline is not an appointment. It is an entity with a type, a due date, an owner and a severity, and the severity is computed on the server: seven days out it becomes a warning, two days out it becomes critical. Each morning it goes to whoever owns it, in the app and by email, in their language.
- The periodic legionella testLogged with its date and its owner. The severity climbs on its own as the date gets closer.
- The fire system and lift inspectionsThey reach the daily digest of whoever owns them, instead of waiting on a calendar someone has to remember to open.
- An agency contract coming up for renewalExpiry type, with its date and its assigned owner.
Who sees what each agency agreed
Voti has five roles, from owner to guest, and the role sets the starting point. The detail does not come from it: it comes from per-document, per-person permissions, granted and withdrawn one at a time. Denial always wins, and they protect against Potens too — a document outside someone’s reach never enters their answer, whole or in fragments.
- Someone who just started on reception
- The operations manual and the guest-facing procedures. Nothing else.
- Whoever runs housekeeping
- Their standards and the product data sheets, document by document.
- An external maintenance contractor
- Only the file they are working on.
- Administration
- The whole archive, and the log of every access and every denial.
What adapts to your hotel, and what does not
There is no hotel edition of Voti. There is a description of your business — written when you sign up, changed whenever you need — that Potens carries into every answer.
- It is not a PMS or a booking engine: it does not manage availability, does not allocate rooms and does not take payment.
- It does not file guest registration returns or replace the guest register your regulator asks for: that has its own system.
- It does not run rotas, clocking or payroll. The staff handbook and the rota can sit inside as documents to consult, and that is where they stay.
- A chain with several hotels is one organisation: there is no split by property, and permissions are granted document by document.
The hotel’s archive already exists. It just has to answer.
Upload the housekeeping standards and one agency contract, ask what gets asked at the front desk, and check it for seven days.
